Project Overview

AbVin Valor partnered with a fast-growing technology company to design and implement a year-round continuous feedback system. The company’s existing annual performance reviews were causing delays in employee development and limiting opportunities for real-time feedback. The objective was to create a feedback culture that encouraged ongoing communication between employees and managers, enabling faster development, enhanced employee engagement, and better alignment with business goals.

Project Objectives:

  1. Design a Continuous Feedback System – Build a structured, company-wide system for regular, constructive feedback that promotes employee growth and accountability.
  2. Encourage Ongoing Development – Facilitate continuous professional development through timely feedback, reducing reliance on annual reviews.
  3. Foster a Feedback Culture – Create an environment where open, two-way communication is a regular part of the workflow.
  4. Integrate with Existing HR Tools – Ensure the feedback system integrates seamlessly with the company’s existing HR platforms and performance management tools.
  5. Provide Manager and Employee Training – Equip both managers and employees with the skills and mindset to give and receive constructive feedback effectively.

Project Execution:

  • Initial Assessment & Stakeholder Engagement: We conducted interviews and workshops with senior leadership, HR, and managers to understand the pain points of the current annual review process. The lack of timely feedback was a key issue affecting employee engagement and development.
  • Feedback System Design: Based on the insights gathered, we designed a continuous feedback framework that allowed for frequent, real-time feedback exchanges. The system included:
    • Regular Check-Ins: Monthly or bi-weekly one-on-one check-ins between employees and managers to discuss performance, progress on goals, and areas for improvement.
    • Ad Hoc Feedback Opportunities: A platform for providing instant feedback on specific projects or behaviors as they occurred, rather than waiting for formal review cycles.
    • Peer Feedback Mechanism: A structured way for team members to provide feedback to their peers, promoting collaboration and a holistic view of performance.
  • Feedback Culture and Guidelines: We worked with the company to foster a feedback culture that encouraged open communication, using clear guidelines for constructive feedback. This included training on how to deliver feedback in a way that was action-oriented and aimed at personal and professional development.
  • HR System Integration: The continuous feedback system was integrated into the company’s existing HR management tools, allowing managers to track feedback, document progress, and ensure alignment with company-wide performance goals.
  • Training & Change Management: We provided training sessions for both managers and employees on how to use the new feedback system effectively. Managers were trained on the art of providing regular, actionable feedback, while employees were trained on how to seek and respond to feedback.

Results:

  • The implementation of a continuous feedback system resulted in several positive outcomes:
